INSTRUCTIONS FOR ABSTRACTS
Abstract Submission Form (Microsoft Word Format)
DEADLINE
All abstracts must be RECEIVED by 23:55 pm Eastern Standard Time on Friday December 1, 2006. Confirmation of your submission will be acknowledged by email, or by ground mail if you enclose a stamped self-addressed post card with your abstract.
FORMAT
Abstracts must:
- Be structured in Surgery format
- Be single spaced in Arial or Helvetica 12-point font
- Fit into the box on the Abstract form (no more than 325 words).
THERE WILL BE NO EXCEPTIONS.
- Graphs and tables are allowed but are strongly discouraged.
Only original, unpublished work will be accepted. Authors who submit work are expected to attend the Annual AAES meeting and to present the work. Submission of material that is being considered for presentation at another national or regional meeting is inappropriate and such material will be rejected.
Some abstracts may be selected for Poster display only. Please indicate your willingness to prepare a Poster if so chosen.
A place for your signature noting your compliance with these requirements is indicated on the abstract form.
Any abstract not conforming to these guidelines will not be accepted.
SUBMISSION
Abstracts may be submitted EITHER by email or ground mail - do not submit abstracts by both methods. Abstracts sent by fax will not be accepted.
Electronically (PREFERRED METHOD):
Send an original, fully completed abstract conforming to the format above to bykowskic@upmc.edu with the abstract either in the body of the email or as an attached Microsoft Word file.
Also send a blind copy of the abstract omitting all author names and institutions. This must be included.
In addition, the following statement must be typed at the bottom of your email: "I certify that this is original unpublished work and has not been presented or submitted for publication to any other organization. I also certify that this abstract is structured in the Surgery format and will fit in the box specified by the AAES using singlespaced Arial or Helvetica 12-point font. I understand that if accepted, I must revise my abstract according to the guidelines required by Surgery."
If the abstract is eligible for the Resident/Fellow Competition, it must be submitted by the resident/fellow (i.e. the sender's address must be that of the resident/fellow) and the following statement must also be typed into your email: "I certify that the research is my own work and if accepted, I will present it at the annual meeting."
All authors who submit via email will receive confirmation of their submission via email. If you do not receive a confirmation message, your submission was unsuccessful.
By Ground Mail:
Mail an original fully completed and signed abstract conforming to the format above and including the full name and highest achieved degree of each author.
Also enclose by mail eight (8) blinded copies of the abstract omitting all author names and institutions. The title should remain on the abstract form and on all copies.
In addition the cover letter must include the following statement: "I certify that this is original unpublished work and has not been presented or submitted for publication to any other organization. I also certify that this abstract is structured in the Surgery format and will fit in the box specified by the AAES using singlespaced Arial or Helvetica 12-point font. I understand that if accepted, I must revise my abstract according to the guidelines required by Surgery."
If your abstract is eligible for the Resident/Fellow Competition, it must be submitted by the resident/fellow (i.e. the sender's address must be that of the resident/fellow) and the following statement must also be typed into your email: "I certify that the research is my own work and if accepted, I will present it at the annual meeting."
Your abstract packet containing the original and copies must be RECEIVED in our office by Friday Dec 1, 2006. Mail abstract packet to Dr. Sally E. Carty at:
497 Scaife Hall, Department of Surgery
University of Pittsburgh
3550 Terrace Street
Pittsburgh PA 15261
SPONSORSHIP
If the author(s) is not an AAES member, the paper must be sponsored by an active, corresponding, or senior AAES member. Indicate AAES members with an asterisk on the abstract form.
RESIDENT COMPETITION
The Association awards two (2) Resident Research Prizes, one for clinical research and one for basic science research. Work done primarily by a resident or fellow is eligible. Please indicate if the abstract should be considered for the Resident/Fellow Research Competition by checking the box on the abstract form. If you do not indicate this, you will not be eligible for the competition.
All residents/fellows participating in the competition must certify that the work is their own and that they will be presenting it at the annual meeting. A place for their signature noting their compliance with this requirement is on the abstract form.
If you are a resident without an AAES sponsor, you can obtain sponsorship by contacting Dr. Carty at the above address.
ACCEPTANCE/REJECTION NOTIFICATION
Correspondence regarding acceptance or rejection of abstracts will be sent to the designated person on the abstract form by January 2, 2007.
Accepted Manuscripts:
A complete manuscript submission packet in Surgery format for each paper must be received by the Recorder (Douglas B. Evans MD) by March 19, 2007. Failure to do so will preclude submission to Surgery, and you also may not be allowed to present your abstract at the annual meeting. Manuscripts must conform to the publication style of the journal Surgery and therefore all manuscript abstracts must be reduced to 200 words as per the publication word limit specified by Surgery. Instructions will be sent by the Recorder to the corresponding author of each manuscript after the abstracts are chosen.
